CEU's internal guidance and procedures for recording FOI-requests: FOI release

Information request and response under the Freedom of Information (Scotland) Act 2002.

FOI reference: FOI/17/01789
Date received: 31 July 2017
Date responded: 22 August 2017

Information requested

  • A copy of the CEU's internal guidance and procedures for recording information requests sent to the Scottish Government;

  • A summary of the system used to record and track requests for information made to the CEU;

  • A list of the 'tags' or 'categories' assigned to individuals who make requests, for example ' media', or 'researcher'.

Response

I enclose a copy of the information you requested at bullet point one.

In relation to bullet point two – Central Enquiry Unit saves a copy of all FOI requests digitally into weekly folders within Scottish Government's corporate Electronic Records & Document Management system. An email copy of each request is then sent to the nominated lead in the business area deemed to be responsible for responding to the request. The nominated lead is responsible for logging the request within the corporate FOI Tracker system – which then tracks the subsequent progress of the request. Central Enquiry Unit is not involved in this process. The FOI Tracker system captures basic information about the request – including status of the request and date due for response, so that automated reminders can be issues to nominated leads at the appropriate times.

In relation to bullet point three - requesters are categorised as either 'individual', 'media', 'solicitor', 'elected representative', 'organisation', 'researcher', or 'other.'
